Workflow A: Shift Handoff Note
At the end of your shift, you need to tell the next agent about everything unresolved. Instead of writing a paragraph, tell ChatGPT your bullet points and let it format the note.
Use this prompt structure:
Format these notes into a clean shift handoff for the next hotel front desk agent. Use these sections: Pending Guest Issues | Maintenance Status | Arrivals to Watch | General Notes.
My notes from today: [your bullet points — one line per issue, as rough as you like]
Workflow B: Guest Activity Itinerary
When a guest asks "what should we do today?". instead of Googling while they wait, generate a customized itinerary in 30 seconds.
Use this prompt:
Start with the Shift Handoff Note today. At the end of your shift, take out your phone and dictate (or type) a quick list of everything that happened:
"Room 204 AC complaint, maintenance scheduled for tomorrow morning. Group of 12 arrives at 6pm for Smith wedding party. Pool heater was reported not working, maintenance knows about it. VIP in 501 asked for extra pillows, delivered. No show in room 314."
Then paste this into the ChatGPT prompt template for Workflow A.
What you should see: A formatted, professional handoff note with clear sections. Pending Guest Issues: 204 AC (maintenance AM), Pool heater (maintenance aware), VIP 501 check-in items. Arrivals: Smith wedding party (12 guests, 6pm). General Notes: 314 no-show.

VIP arrival prep:
Create a short checklist for receiving a VIP hotel guest. Details: [describe]. Include room check items, front desk preparation, and things to communicate to housekeeping and concierge.
End of shift summary for manager:
Create a [half-day / full-day] activity suggestion for hotel guests in [your city/neighborhood]. They are: [describe — couple, family with kids, solo business traveler, etc.]. They want: [any preferences — food, outdoor, culture, shopping, etc.]. Format it as a simple numbered list with estimated times between stops.
Workflow C: Pre-Arrival Research for Group or VIP
When a large group or VIP is arriving, spend 3 minutes creating a preparation checklist.
Use this prompt:
Create a pre-arrival preparation checklist for a hotel front desk agent for this guest or group: [describe — e.g., "Wedding party of 22 arriving Friday at 4pm, need adjoining rooms, bridal suite for bride and groom, welcome champagne requested"].
